Files and Folders in Vitruvi™

Introduction

With files and folders you can attach any document from your computer to work packages, work items, or daily production reports. This allows you to add information, details, photos, or other information that those working on the project may need to know.

Files and folders obtain their permissions from the item to which they are attached, so anyone with permission to view the item can also view the files/folders.

How to access files and folders

The files and folders option can be accessed in one of four ways ways:

  1. From the Work Package.
  2. From the Work Item.
  3. From the Field Report.
  4. From the Design Element.

From the Work Package

To open files and folders from the Work Package:

  1. Set your scope, and then go to Work Management:

2. In the Work Package tab, find the Work Package you want to view and click See Details:

3. From here, select the Files tab to see what is associated with this Work Package:

From the Work Item

To open files and folders from the Work Item:

  1. Set your scope, and then go to Work Management:

2. From Work Management, select the Work Items tab, then click on the Work Item you want to inspect:

3. This opens the Edit Work Item side window:

4. Scroll down to the bottom of the window and click the link to See Files:

From the Field Report

To open files and folders from the field report:

  1. Set your scope, and then go to Work Management:

2. From Work Management, click on the Field Reports tab, and then click on the field report you want to inspect:

3. In the field report details screen, you can scroll across the columns to see if any files are available on that report:

4. Click the blue box to open the files and folders view.

From the Design Element

To open files and folders from the Design Element:

  1. Set your scope, and then go to Engineering:

2. From Engineering, select the Design Elements tab, then click on the Design Element you want to inspect:

3. This opens the Edit Design Element side window:

4. Scroll down to the bottom of the window and click the link to See Files:

How Files and Folders Work

Once you have opened the files and folders window, you will see the various files and/or folders associated with the item. Each folder symbol indicates at what level the file was attached to the item:

Underneath each icon is a description of the item to which it is attached, or the file name. Files appear with the label name entered at upload (if no label is entered, the system defaults to the filename), and a preview thumbnail if available.

Note that the arrow displayed in the top left corner of the window is the “back” button, which will take you back to the previous file screen.

Adding Files in Vitruvi™
